  • Position Summary

    Acts as a key communication link between the external customers and the company. Accountable for ensuring that customers receive the best service/support possible, to maximize customer satisfaction and enhance the organization’s image in the market place. Provides basic product related information and literature to customers and answers product related questions and inquiries. Responsible to ensure continuous coverage for all the activities within the Customer Care function including taking incoming calls, answering email, faxes, processing orders and providing information internally and externally on the status of the order and organizing transportation and logistics activities.

    Job Responsibilities

    Provide excellent service/support to the customer by ensuring all requests are addressed accurately and timely.


    Customer Sales Orders

    • Receive customer orders and enter in the order handling system.
    • Validate order by checking dates, product, prices, delivery conditions and payment terms.
    • Acknowledge order to the customer.
    • Issue or request the order related documents such as order confirmation, delivery note, pro forma invoice, quality certificate, labels etc.
    • Manage the customer order from receipt to delivery. In case of issue keep the customer informed and work to find solutions.
    • Coordinate timely generation of the final invoice.
    • Maintain valid proof of delivery for all orders.

    Processing Sample Shipments

    • Manage sample shipments.
    • Manage sample inventory in the sampling warehouse and requesting repackaging if necessary.

    Internal Logistics

    • Entering order requisitions in JDE for freight charges, storage and handling.
    • Approve invoices for freight charges, storage and handling activities.
    • Book the arrival of goods and receipt of services in JDE.

    Support import/scheduling for external warehouses

    Commercial support

    • Follow up on Aerogel inquiries.
    • Initiates AG samples to be send to customers.
    • Follow up samples.  
    • Answer customers product questions, send product information, MSDS, TDS. 
    • Maintain sales documentation, (e.g. price lists, payment terms).
    • Send quotations to customers and follow up.
    • Support internet researches to identify new customers.


    • Customer (internal/external) oriented mindset:         

              - Ability to ask appropriate questions to fully understand requirements / issues;          

              - Responsive and reliable in dealing with customer issues;

              - Technical interest and ability to understand basic technical questions and product features;

              - Ability to build and maintain good relationships with customers.

    • Stress resistant. Adapting with flexibility to a fast moving environment.
    • Able to perform several tasks simultaneously with minimum supervision; good organizational skills.
    • Negotiation and problem solving skill.
    • Bachelor degree in Marketing, Business Administration, Logistics or similar discipline.
    • Languages: fluent in English and German language.
    • Good communicator and team player, both internally and externally.
    • Computer literate. Existing knowledge of MS-Excel and an ERP system is an asset.
    • Knowledge of international trade practice, ocean and air freight documentation and procedures.
    • Knowledge of shipping documents and requirements.
    • Knowledge of international custom regulations.
